Chapter 5 Writing and Sending Messages
To send a message to one person or to a Distribution
List:
* Type SEND followed by TO and the name of a person, or a
Distribution List in your List Area. For example:
Outtray > SEND TO sandy hawkey Return
Outtray > SEND TO "managers" Return
The name of the Distribution List must be enclosed in double
quotes.
* Type a subject for the message and press Return
* Type the text of the message, line by line. Press Return at the
end of each line.
If you make a mistake, use Backspace to move the cursor back to
the mistake. Then retype the rest of the line. To end the
message, type //.
* When HP Desk displays the MESSAGE > prompt, mail the message by
typing MAIL Return.

To send a message to several people without using a Distribution
List:
1. Type SEND Return
2. Type a subject for the message and press Return
3. HP Desk prompts TO: category so you can type the Distribution List
for the message. Type the names, pressing Return after each one
and Return by itself to move to the next category. For example:
TO:anna murphy Return
Return
CC:sam boss Return
// Return
4. Type// Return on a new line to finish the list.
5. Type the text of the message, ending with // Return
6. Type MAIL Return to mail your message.
To send an existing item:
1. In your In Tray, Out Tray, Work Area or an open folder, type SEND
followed by the number or subject, enclosed in double quotes, of
the item you want to send and press Return. For example:
Intray > SEND 3 TO "mylist" Return
Workarea > SEND "notes" TO timothy williams Return
2. Type MAIL Return to mail your message.
Further Information
* If you include your own name in a Distribution List, you will
receive a copy of the message in your In Tray.
* If you type the name of a Distribution List, enclosed in quotes,
against a TO, CC or BCC prompt then the names on the Distribution
List will all assume the category status described by the prompt.
To keep the categories of the Distribution List use the Profile
option which allows you to retain Distribution List categories.
* You can send messages from any HP Desk area.
* HP Desk keeps a copy of messages you mail, for a short time, in
the Waste Basket folder in your Filing Cabinet. To retrieve a
message you should go to the Waste Basket and either move or copy
it to another folder or to your Work Area.
