Securing Your Desk 

You can make sure that information in your Desk is secure.  There are
various ways of securing items in your desk:

   *   Assign a PASSWORD to your desk.

   *   LOCK your desk and use your PASSWORD to unlock it.

   *   Assign PASSWORDs to packages or folders.

   *   ENCRYPT any item you can edit.

   *   Mark Calendar entries, messages, packages or folders as PRIVATE. 

Assigning a Password to Your Desk 

To prevent other users reading your mail, you can set up a password for
yourself.  When you have a password, you must type it in whenever you
sign on to HP Desk.

To set up a password: 

   1.  Move to the Administration Area by typing 10 Return 

   2.  At the Admin > prompt type PASSWORD Return 

   3.  Type the password you want to use, and press Return.  Your HP Desk
       System Administrator can tell you how long your password should be
       and what characters you should use.  Whenever you sign on to HP
       Desk, you must type the password exactly, so you will probably
       find it easier to choose a password of all lowercase letters, or
       all uppercase letters.  HP Desk does not show the password on the
       screen.

   4.  HP Desk asks you to type the password again, to confirm that what
       you first typed is what you really want.

       Further Information 

   *   To change a password, follow the procedure described above.  HP
       Desk asks you to type your old password before you can choose
       another one.

   *   To delete a password, follow the same procedure but press Return 
       when HP Desk asks for the new password.

Locking Your Desk 

If you want to leave your terminal unattended but do not want to leave HP
Desk you can use the LOCK command.  This locks your desk, so that other
users cannot access your mail.  You can only do this if you have already
assigned a password to your Desk, as you have to type the password to
unlock your Desk.

To lock your Desk: 

       At any HP Desk prompt, with the exception of SUSPEND >, type LOCK
       Return For example:

            MESSAGE > LOCK Return 

       HP Desk displays a message telling you that your Desk is now
       locked.

To unlock your Desk: 

       To unlock, simply type in your password and press Return.  For
       example:

            Enter your password to unlock:

       HP Desk does not show the password on the screen.

Assigning Passwords to Packages and Folders 

You can set up a password on packages and folders.  If you share your
desk with a designate this gives you added control.  Any folder or
package that has been protected with a password is listed with a P
alongside its item number.

To secure a package or folder with a password: 

   1.  When you are in an OPEN package or folder type:

            PASSWORD Return 

   2.  Type a password that you know you can remember and then type it
       again, for verification.

       Now you can only open the protected package or folder by giving
       the password.

       If you assign the password, but then forget it, you can type * at
       the Enter password >> prompt.  Only the person who sets the
       password can substitute an asterisk (*) for the password.
       Designates and sharers must type the password in full.

       Further Information 

   *   To change a password, follow the procedure described above.  HP
       Desk asks you to type your old password before you can choose
       another one.

   *   To delete a password, follow the same procedure but press Return 
       when HP Desk asks for the new password.

   *   When you type a password HP Desk does not show the password on the
       screen.

   *   You cannot assign a password to four of HP Desk's permanent
       folders:
          *   Incoming Day File
          *   Outgoing Day File
          *   Public Distribution List
          *   Notice Board

   *   You can assign a password to your Waste Basket.

Encrypting Information 

To ensure total security for a particularly confidential item you can
encrypt it.  You can encrypt any item that you can edit.  When you
encrypt an item HP Desk scrambles it so that the contents are illegible.

To encrypt items: 

   1.  At the area prompt type ENCRYPT followed by the subject or number
       of the item.  For example:

            Workarea > ENCRYPT "personal" Return 

            Workarea > ENCRYPT 2 Return 

   2.  Type the number of the encryptor that you want to use and press
       Return.

       Type up to 16 alphanumeric characters for your encryption key.  HP
       Desk asks you to repeat the key for verification.

Once an item has been encrypted it has to be decrypted before it can be
read.  The decryption key is the same as the encryption key.

       Further Information 

   *   Always choose an encryption key that you know you can remember.
       If you forget the key you will not be able to decrypt the
       encrypted item, and nor will your HP Desk Administrator.

   *   If you send an encrypted item in a message do not also send the
       decryption key in a message.

   *   You can move or copy encrypted items to your Filing Cabinet.

Marking Items as Private 

You can mark messages, packages, folders and Calendar entries as private.
Any designates you have do not see private items.

To make items private: 

       When you are in an OPEN message, package or folder type PRIVATE.
       For example:

            MESSAGE > PRIVATE Return 

       To cancel this type PRIVATE NO Return 

To make Calendar entries private: 

       At the Calendar date prompt type EDIT PRIVATE followed by the
       number of the entry.  For example:

            4/4/92 > EDIT PRIVATE 1 Return 
            Security : PRIVATE Return 

       To cancel this press Return at the Security :  prompt.  For
       example:

            4/4/92 > EDIT PRIVATE 1 Return 
            Security : Return 

       A label entry can also be marked as private by typing EDIT PRIVATE
       followed by the name of the label in quotes.  For example:

            4/4/92 > EDIT PRIVATE "interview" Return 
            Security : PRIVATE Return
