Sharing Your Desk
There are many ways of sharing your desk with others who work on the same
computer. You can:
* Share a folder with colleagues.
* Copy a Work Area item to a colleague's Work Area.
* Copy a Distribution List to a colleague's List Area.
* List or print a colleague's free time.
* Appoint a designate to work on your behalf.
Sharing Folders
You can share folders you have created in your Filing Cabinet with
colleagues, providing they work on the same computer. When you share a
folder it appears in the other user's Filing Cabinet and when you delete
it, it disappears from the other user's Cabinet.
You cannot share HP Desk's five permanent folders. These are:
* Incoming Day File
* Outgoing Day File
* Public Distribution Lists
* Notice Board
* Waste Basket
To share a folder:
1. Type SHARE folder name or number WITH followed by the name of the
user who is to share the folder. For example:
Cabinet > SHARE "project notes" WITH tom smith Return
2. At the access prompts READ, ADD, COPY, DELETE and DESIGNATE type
YES Return to allow access or NO Return to disallow it.
To stop sharing a folder:
Type UNSHARE folder WITH the name of the user. For example:
Cabinet > UNSHARE "project notes" WITH tom smith Return
If you no longer want to share a folder with anyone type UNSHARE
folder name or number WITH ALL. For example:
Cabinet > UNSHARE "project notes" WITH ALL Return
Further Information
* You need COPY access to be able to print a shared folder.
* If you cannot remember with whom you are already sharing a folder,
type ? instead of typing a name. For example:
Cabinet > SHARE "project notes" WITH ? Return
* If you have shared a folder with other users, the folder can be
used in the same way as an ordinary folder. Any changes you make
to the folder will be reflected in the corresponding folders of
those with whom you have shared the folder.
* If a folder has been shared with you by another user, what you are
able to do with it is determined by the capabilities given to you
by the person sharing the folder.
* Only the creator of a shared folder can UNSHARE the folder.
* If you are moved to a different HP Desk mailnode, any shared
folders you have will be copied to your new location and become
your personal folders. The folders will no longer be updated when
the shared folder it once belonged to is updated.
Copying to a Colleague's Desk
You can share Distribution Lists, plus items you have in your Work Area,
with colleagues. You can also share any of your Distribution Lists with
colleagues who work on the same computer, by copying your list to the
Public Distribution Lists Folder, which is in everyone's Filing Cabinet.
To copy between Work Areas:
At the Workarea > prompt type COPY followed by the item number, or item
subject enclosed in quotes, TO WORKAREA OF followed by the name of your
colleague. For example:
Workarea > COPY 1 TO WORKAREA OF june morgan Return
To copy between List Areas:
At the Listarea > prompt type COPY followed by the number or name of the
list, and then TO LISTAREA OF followed by the name of your colleague.
For example:
Listarea > COPY 1 TO LISTAREA OF sandra hawkey Return
To make your Distribution List a Public Distribution List:
At the Listarea > prompt type COPY followed by the number or name of the
list, TO "PUBLIC". For example:
Listarea > COPY "mylist" TO "PUBLIC" Return
Listing a Colleague's Free Time
It is possible to list or print weekly displays of the free time of other
people who work on the same computer.
To list or print the free time of other people:
At the Calendar prompt:
* Type LIST FREE OF followed by the person's name. This will list
the other person's appointments. For example:
4/4/92 > LIST FREE OF caroline walker Return
* Type LIST FREE FROM date TO date OF followed by the person's name.
This will print the other person's Free Time Map. For example:
4/4/92>LIST FREE FROM TODAY TO 30/4/92 OF caroline walker
* Type PRINT FREE OF followed by the person's name. For example:
4/4/92 > PRINT FREE OF loretta jeanes Return
Delegating Your Work
You can authorize another user to work, on your behalf, at your Desk, by
naming them as your designate. For example, you can register your
secretary as your designate. You can have one or more designates, but
they must work on the same mailserver as you. You can also be a
designate of one or more users.
A user who has authorized another user to work as his or her designate is
called a principal. A principal and his or her designate can both work
in the same HP Desk area at the same time. However, if one of them is
working on an item that can be edited, or looking at an open folder, then
the other user will not be able to access that item. HP Desk displays
this warning:
I am sorry but this item is currently being accessed
Signing on as a Designate.
Sign on is usually complete once you have typed your name and HP Desk
password. However, if you are a designate, HP Desk also asks you if you
want to work on your own behalf:
* Type YES Return to work at your own Desk.
* Type NO Return to work as one of your principals.
To list your designates:
At the Admin > prompt type DESIGNATE Return
HP Desk displays a numbered list of all your designates, together with
the access capabilities you have given to each, and the date on which the
designation is to end. You define the expiry date and access
capabilities when you assign a designate.
To assign a designate:
1. At the Admin > prompt type DESIGNATE Return
2. At the DESIGNATE > prompt type ADD, followed by the name of an HP
Desk user, and press Return
3. Type the expiry date and press Return (or just press Return for an
indefinite expiry date).
4. Type YES Return to allow a capability, or NO Return to refuse it.
Refer to the list of capabilities on the next page.
To delete a designate:
1. At the Admin > prompt type DESIGNATE Return and HP Desk displays a
numbered list of your designates.
2. Type DELETE followed by the number of the designate you wish to
delete and press Return
Once a designate has been deleted they can no longer sign on as you, and
will cease to appear on your list of designates.
Further Information
* Designates can copy an item from a principal's Desk to the
clipboard and then copy the item into their own Desk.
* Designates cannot work in your Administration Area, read PRIVATE
items or read items protected by a PASSWORD, unless you've told
them the password.
* You can automatically copy messages to a designate. See
"AutoCopying Messages to a Designate" .
* At the DESIGNATE prompt you can use these commands:
Capability: Allows your designate to:
READ Read or open messages including those in your
Filing Cabinet, except those marked private.
FILE Move or copy messages to the Filing Cabinet.
DELETE Delete messages and other HP Desk items.
CREATE Compose messages and other HP Desk items using
the send and create commands. To allow your
designate to compose and mail messages, they
must be able to use both create and mail.
COPY Use the copy command. To allow your designate
to print items they must be able to use both
read and copy.
EDIT Edit messages in your Out Tray, items in your
Work Area and Distribution List in your List
Area.
MAIL Mail messages to other users.
CALENDAR Read any Calendar entry, except those marked
private.
