Features of a User Profile
Area Customization
There are a number of options that can be customized when users initially
enter areas of HP Desk:

Listing Users have a number of choices that affect how HP Desk behaves when
they enter an area or move between areas. On entering an area they
have the choice of whether the contents of the area be listed
automatically. The default value for each area is "yes".
Display Initial There is also the chance to choose whether an initial summary of
Introductory Help available commands is displayed on entering an area. The default
value is "no". This is also displayed on opening an item. (See
"Tailoring Initial Introductory Help" for more information on the
initial help capability.) An example of this summary, as displayed
on entering the In Tray, is shown below:

IN TRAY commands: COPY, DELETE, EXECUTE, EXIT, FORWARD, HELP, LIST,
LOCK, MOVE, OPEN, PRINT, PROFILE, READ, REDO, REPLY, REPLYFORM,
SEARCH, SEND and SENDFORM. type ? and press <RETURN> for more
information.
Display the Time Users can decide whether they want the time to be displayed before
the command prompt. The default value is "no".
Clear the Screen Two options are given that control whether existing information
scrolls up line by line or is cleared.
* Will the screen be cleared of existing information when
entering an area of HP Desk? The default value is "no".
* Will the screen be cleared when signing off HP Desk? The
default value is "no". By choosing "yes" you can ensure that
no sensitive information is left on the screen after signing
off. Instead of the display scrolling up line by line, the
screen is cleared and replaced by:

Text Creation and Editing Options
Users have a number of options that determine how HP Desk behaves when
they are creating or editing items:

Text Editors Users can choose the text editor which is invoked to edit text items
in a variety of circumstances. Firstly, you can choose the text
editor used by the SEND command for the creation of message text and
the FORWARD command for the creation of comments. Secondly, you can
choose the text editor used by the EDIT command when editing text
items, and the CREATE command when creating text items. The choice
of editors is between:
* Line by line entry. (Default for message creation.)
* Screen mode entry. (Default for creating/editing text items.)
* HP Slate. (Only allowed for SEND and FORWARD.)
* HP Word. (Not available for MPE/XL.)
* An editor of the user's choice. This editor must be capable
of accepting the name of the file to be edited by way of an
INFO string, and nothing else must be passed in this string.
Thus TDP/3000 or EDIT/3000 cannot be specified here.
Termination Choose characters other than "//" which can be used to indicate the
Character end of text entry.
Screen Mode Help Display a screen of Help instructions before entering screen mode.
By default, these instructions are displayed after specifying the
subject of any item to be created or edited in screen mode.
Experienced users may wish to turn this feature off. The text is as
follows:
You are about to enter Screen Mode in which you can make changes
anywhere in your text by moving the cursor with cursor control keys
and overwrite any text displayed on your terminal.
When you are ready to begin entering text, press the <ENTER> key.
Press the <ENTER> key again when you have finished entering
your text.

Forms Processing Display a screen of Help instructions before starting forms
Help processing. By default, these instructions are displayed after
specifying that the form will be filled in. Experienced users may
wish to turn this feature off. The text is as follows:
You are about to enter forms entry in which you can make changes
or add information to the forms displayed. To register any changes
made you must hit the <ENTER> key after filling in the form.
To move from one field to another use the <TAB> key, or cursor
position keys. You may use the insert and delete character keys
to help you make changes.
You may use the <NEXT REC> and <PREV REC> keys to move between
screens. When in BROWSE mode you should hit the <COLLECT> key to
add new screens of information. When in COLLECT mode you should
hit the <BROWSE> key to review and edit the existing screens of
information.
When you are ready to begin, press the <RETURN> key.
Display Users can decide whether they want a full name check on Distribution
Distribution List Lists, as HP Desk can display all the names on a Distribution List as
it checks them. However, by default only invalid names are displayed
for correction, to save time when displaying long Distribution Lists.
Retain Categories Users can decide whether they want the categories within a
Distribution List to be retained when entering a pre-defined
Distribution List into a new Distribution List.
Printing and Display Options

Printing options There are a number of ways in which a user can tailor the way HP Desk
prints messages and other items, as follows:
* Change the default logical device (printer type). This
changes the output device from the system line printer to any
spooled printer of that type on the system. The default value
is LP. Instead of giving the printer type, you can specify its
logical device number (see below).
* Change the Ldev number of the printer. This is an alternative
method of specifying the print device from that given above.
* Change the default environment files used to format the
printing of messages and of their Calendar/Diary.
* Run HP ListKeeper to print any lists, rather than have a
normal HP Desk print using unformatted USASCII text. The
default is "yes". Such prints take a little longer but
preserve the formatting enhancements of the document.
* Run HP Word to print any HP Word item, rather than have a
normal HP Desk print using unformatted USASCII text. The
default is "yes". Such prints take a little longer but
preserve the formatting enhancements of the document. If you
have an HP2626A terminal this is not an HP Word terminal so
cannot run HP Word. However, HP Desk cannot distinguish
between HP2626A and HP2626W terminals, it assumes they are
both HP2626W terminals which can run HP Word. If you have an
HP2626A terminal you should change your Profile so it does not
use HP Word to print. This option is not available on MPE/XL.
* Choose a banner to be printed on each item. This can help
identify printed items at shared printers, but can also use
significant amounts of paper. You can choose either no
banner, a full page showing an HP Desk logo and the user's
name and mailnode, or a single header line - the default -
showing just the name and mailnode as follows:

* Choose to print a full Distribution List on messages, or
abbreviate long lists to "DISTRIBUTION", as for the display of
messages. This saves paper with long Distribution Lists.
Default is to print the full list.

Display options
* Users can choose to always automatically display the following
types of item when reading messages:
* VPLUS/3000 forms.
* Visicalc/3000 spreadsheets (not MPE/XL).
* Graphics items, such as HP Draw or HP EasyChart files.
By default, items of these types are not displayed
automatically--you have to open the message and read the item
explicitly. Note that if you choose to display all these
types of item, the performance of the READ command will
degrade. This is because each of these items takes time to
display, often calling the originating application to display
the item.
* By default when displaying messages, HP Desk replaces the
names in a Distribution List with the word "DISTRIBUTION" for
lists of 10 names or more. You can choose a length other than
10, if you wish. Suppressing the display of the Distribution
List can increase the performance of the READ command, though
remember that to whom a message has been sent is often as
important as what the message says.
* Users can decide whether they wish to display the the full
text of the extra user information (if it is configured) when
adding names to Distribution Lists.
* Users can also decide whether to keep the original creator
names on messages to be forwarded.
Area Listings
If the contents of the area are listed, in what order will items be
listed? Users can choose to list items in a variety of different orders.
One list order can be chosen for the In Tray, and one for all other
areas. For the In Tray, the list criteria are: type of message (that is
whether new, urgent, To addressee, appointment, private), schedule reply,
or date received. For other areas the criteria are: day created, time
created, subject, or creator surname. The sorting can be done in either
ascending or descending order depending on whether the numbers in the
order list are positive or negative.
Note that choosing to sort an area will affect the performance of HP Desk
when sorting large numbers of items (that is, over 100).
Calendar/Diary Options
To customize their Calendar/Diary, users can choose:
* The format of the date. This can be either mixed, for instance
11th November 1991, or numeric, for example 11.11.91.
* 12-hour or 24-hour clock to be used.
* The start day and month for the week and day numbering of the
year.
* The normal working week and working day specified to the nearest
half hour. The default week is 8.30 till 6.00, Monday through
Thursday, and 8.30 till 5.30 on Friday. This is used by the HP
Schedule option to work out when users may be available to attend
meetings--so remember to include regular non-available time during
the day, such as lunch. The default day is 8.00 till 7.00, which
is used when listing free time.
* Whether they use the Calendar--and so whether the free time in the
Calendar is a true reflection of the user's actual free time. The
default is "yes". If HP Schedule is to be used effectively in
your organization, you should encourage users to make regular use
of their Calendars and not to change this value--specifying no
prevents HP Schedule accessing the Calendar.
* Whether to carry forward un-actioned ToDo items to the next day.
