Working on Folder Contents 

To optimize your use of the Filing Cabinet there are various things you
can do to folders - such as search through them or rename them.

For a full list of the different commands you can use for handling folders, type ? Return at the folder or Cabinet > prompt. Handling Folders * To READ or otherwise work on folder contents you must first OPEN the folder. For example: Cabinet > OPEN "feedback" Return feedback > READ 2/6 Return When you have finished working on a folder type CLOSE Return. * You can LIST items from a particular person. For example: Cabinet > LIST FROM joe griffin Return * You can rename folders, using the RENAME command. For example: Cabinet > RENAME "background" Return Subject : intro Return * You can delete folders, using the DELETE command. * You can forward folders, using the FORWARD command. * You can secure a folder by setting a PASSWORD or by making it PRIVATE. See "Securing Your Desk" . * You can reorganize the contents of your folders by moving items from one folder to another. To do this open a folder, and then either move an item to another folder or copy from another folder. For example: Incoming > MOVE 1 TO "sales" Return SALES > COPY FROM "review" OF "waste" Return * You can change the way that HP Desk lists the folders in your Filing Cabinet by using the PROFILE command. See "Sorting the Order of Lists" . Indexing Folders You can list the contents of a folder using the index command. To look at an index of your Filing Cabinet: At the Cabinet > prompt type INDEX, and press Return Cabinet > INDEX Return HP Desk asks you if you want to print your Filing Cabinet index. Type YES Return to print it, NO Return to look at the index on the screen. HP Desk then asks if you want to look at just the structure of your Filing Cabinet. Type YES Return to look at folder structure or NO Return to look at folder structure, complete with folder contents. If you choose to look at the contents HP Desk lists everything except the contents of the Waste Basket. To look at an index of a folder: At the Cabinet > prompt type INDEX followed by the number or name of the folder. The name must be in quotes. Press Return. For example: Cabinet > INDEX "reports" Return HP Desk asks you if you want to print your folder index. Type YES Return to print it, NO Return to look at the index on the screen. Searching Through Folders You can search through your folders for any combination of date of creation, name of creator, type of item and subject. HP Desk makes the search while you carry on working, and then sends a message to your In Tray with the search results. To search through your folders: 1. At the Cabinet > or foldername > prompt type SEARCH and press Return 2. HP Desk displays a form for you to fill in with whatever criteria you want to specify for the search. Use the Tab key to move from one highlighted area to another. 3. Press Enter when you have finished. 4. HP Desk displays a second form for alternative search criteria. If you don't want to fill this in, just press Exit to issue the search. Otherwise, fill in the second form and press Exit 5. Type YES at the Do you want to issue this search? >> prompt. 6. Carry on with other work and wait for the message that gives the results of the search to arrive in your In Tray. Further Information * You can search for mail from a particular person. Type LIST FROM at the prompt. For example: Cabinet > LIST FROM joe griffin Return
