Chapter 7 Filing Your Work
What is a Folder?
Folders are the container items in your Filing Cabinet, just as in a
normal office. You can create your own folders and store other items,
including folders, within these folders.
There are five system folders in your Filing Cabinet, which you cannot
delete. They are:
Incoming Day File contains incoming messages that you have moved or
copied, without giving a particular folder name, plus messages you have
AutoFiled.
Outgoing Day File contains outgoing messages that you have moved or
copied, without giving a particular folder name, plus messages you have
AutoFiled.
Public Distribution Lists contains Distribution Lists that can be used by
all users with the same mail address. You can add lists to the folder
but you can delete only those lists that you have created. Ask your
System Administrator how the Public Distribution Lists are used in your
company.
Notice Board contains items of general interest to all users with the
same mail address. You can add items to the folder but you can delete
only those items that you have created. Ask your System Administrator
how the Notice Board is used in your company.
Waste Basket contains any messages or other items that you have deleted,
as well as copies of messages you have mailed.
Your HP Desk Administrator allows you a certain amount of space in your
Filing Cabinet and HP Desk always tells you what percentage of this space
you have already used. If you have used 80% or more you need to consider
deleting some of your filed work.
If you have set AutoFile then HP Desk will automatically copy messages to
your Filing Cabinet, which may take up a lot of space. Your HP Desk
Administrator must give you AutoFile capability before you can use this
feature.
