HP DeskManager Administration

Summary of Enhancements to HP DeskManager

HP DeskManager version B.05.00 is a significant enhancement release. The
following section gives an overview of the product enhancements.

LOOKUP Command

A Directory Search command (LOOKUP) has been added to the directory
display, to help users search the HP Desk directories independently of
sending a message or creating a Distribution List. The user may scan
down the directory hierarchy or may supply a name and may have
alternatives supplied if that name is not unique. Extra user information
will also be returned, if configured. Users are able to access a User
Profile option, that allows the display of extra user information when
they add names to a Distribution List, if it is configured.

Undelivered Messages

HP Desk features a new mechanism to control what is returned to the
sender of a message when it is found that one or more names in the
Distribution List are unable to be resolved.

New Script Features

HP DeskManager supports a number of new script directives. They are &AB,
&BREAK, &CALLFATHER, &STORE, &RESTORE and &SIGNON. The new script active
functions are <CREATED>, <ATTDATE> and <MPEXL>. Also variable
substitution with the + facility is supported. These features are
detailed in HP DeskManager Customization.

Enhanced Transport

HP DeskManager provides the means by which Networked Services (NS) can be
used as the transport medium between connecting HP Desk systems. Fully
qualified NS node names can be used to identify remote systems. Using
this feature, it is not necessary to store the passwords of the
connecting machines in the local system's database, thus improving system
security and significantly reducing the administrative overhead
associated with the changing of passwords. Operator commands can enable
and disable NS Slave Trucks, and MAILSTATUS shows the receiving Slave
Truck's status.

There are additional commands to stop and start specified numbers of
Master Trucks dynamically, and also disable "hung" Trucks. The limit on
the maximum number of Master Trucks running on one system is increased to
36.

User Password Controls

To ensure a high degree of security for users, Administrators can ensure
that users set passwords, and that these passwords are set up according
to a set of pre-defined composition rules. Administrators can use the
Configurator to specify minimum composition requirements, a minimum
length, and set a password expiration period.

Miscellaneous Enhancements

   * Editing Distribution Lists of replies allows the creator of the
reply to add their own name as well as CCs and BCCs to the
       Distribution List.

   * The creator of an item is displayed even if that item has been
added to a container item created by another user. This feature
can be selected in the User Profile.

   * Users are now able to keep the categories of names when sending to
a pre-defined Distribution List. This feature can be selected in
the User Profile. See the HP DeskManager User Reference Guide for
       more information.

   * The LIST command has been extended, and includes LIST NEW, LIST
URGENT, LIST PRIVATE and LIST FROM. See the manual HP DeskManager
User Reference Guide for information on the use of these commands.

   * Performance for terminal users over a LAN has been is improved.

   * MAILSTREAM has the facility for an Administrator to indicate when
       a job can be streamed.

   * The Passedit and Mailutil programs will turn in batch
mode--allowing further improvement to centralized administration.

HP DeskManagerPLUS Features

HP DeskManagerPLUS includes all of the functionality of HP Desk and
provides other features in the following areas:

User Interface--Routing messages

In an office there are many processes which require sign-off from other
people before an action can be completed, or authorized. This process
can range from being really simple, like the sign-off of expenses, to
complex security or legal procedures. HP DeskManagerPLUS offers users
the facility to automate these processes by routing a form or message
through an ordered list of users to a specified final addressee. Each
recipient can approve the request (in which case it is sent to the next
user in the list), or can reject the request (in which case it is
returned to the originator of the message). Each of the people who are
on the "Route List" has the option of adding comments before mailing the
message. The approval or rejection of a message is controlled by HP Desk
passwords. A StandIn can be set, just like a designate, to approve or
reject routed messages in a user's absence. The status of a message can
be checked by the originator in the Pending Tray at any time from its
initial state through to completion. The use of the Routing and
Authorization capabilities is described in HP DeskManager User Reference
Guide.

NS Transport Data Compression

The Administrator can specify in the Configurator, that data will be
compressed before it is transmitted over an NS link between two HP
DeskManagerPLUS systems, to provide an opportunity to reduce line
utilization and consequently data communications costs.

Concurrent Garbage Collection

With HP DeskManagerPLUS it is possible to run maintenance (garbage
collection) continuously and concurrently with all the other HP Desk
processes. This process is significantly faster than the conventional HP
Desk Mailmaint, and reduces down time. Using this facility regularly
will mean that the system can be available to users more often, and
minimises the likelihood of the databases filling up during normal
working hours.

Centralized Administration

Enhanced centralized administration features are key feature of HP
DeskManagerPLUS. Administrators can add, modify or delete local data on a
remote computer, (for example users or routing information) from a
central computer. Configuration of several new types of local data, (for
example passwords and user capabilities) is now possible in batch format.

HP Schedule

HP Schedule allows users to schedule meetings with other HP Desk users,
and book resources like rooms and cars. This manual includes material
that documents the administration of the HP Schedule component HP
DeskManagerPLUS. The HP DeskManager User Reference Guide details the user
interface commands for HP Schedule.

HP Desk Intrinsics

The HP Desk Intrinsics provide a programmatic interface to HP Desk's
mailing, Diary and directory functions. The HP Desk Intrinsics component
to HP DeskManagerPLUS is fully documented in HP DeskManager Intrinsics.

HP DeskMon

HP DeskMon provides the Administrator with the ability to monitor several
HP Desk systems from a central point. The HP DeskMon component to HP
DeskManagerPLUS is documented in HP DeskMon Administrator's Guide.
