Chapter 16  HP Schedule 

HP Schedule is an HP DeskManagerPLUS option that lets you book rooms,
projectors, chairs, cars from a pool, maintenance crews - in fact any of
your organization's Resources that are shared.  You can also check the
free time of people on a Distribution List and use HP Schedule to arrange
a convenient time for a meeting.  You can book Resources and schedule a
meeting as separate jobs or at the same time.

If you want to find out when other people are free or what Resources are
available, you issue a free time request.  This is simply a modified HP
Desk message with a Distribution List and, when appropriate, a list of
possible Resources.  However, instead of supplying text as you would for
a normal message, you have to specify a range of dates within which you
want HP Schedule to make the free time search.  When the members of the
Distribution List receive the free time request, it is passed
automatically to HP Schedule which checks the Calendars of those people
and combines their free time.  When HP Schedule has finished, it sends
you a summary of the time slots when everyone concerned is free.

There are two ways that you and other users can improve the efficiency of
HP Schedule:

   *   HP Schedule recognizes that you are a Calendar user by checking
       the Calendar/Diary options in your Profile screen.  The screen is
       defaulted so that initially HP Schedule has automatic access to
       your Calendar.  If you change the default setting of the HP
       Schedule option, and you receive a free time request, you have to
       respond by sending a normal HP Desk message, so introducing a
       delay.  HP Schedule is thus at its most effective when all HP Desk
       users allow automatic access into their Calendars.  You should
       warn other HP Desk users not to alter the HP Schedule option
       setting unless they have a good reason for doing so.  See HP

   *   Equally as important as using the Calendar is keeping it up to
       date.  You can update your Calendar yourself or you can tell HP
       Schedule to do it for you.  The AutoInsert facility ensures that
       bookings and cancellations made using HP Schedule are
       automatically reflected by a change to your Calendar.  AutoInsert
       is fully explained in HP DeskManager User Reference Guide, but
       every so often, you might find it necessary to remind other users
       about the facility as not everyone will read the manual. 

The biggest job for the Administrator is to configure Resources into the
network, and be responsible for its maintenance.  Resources are treated
just like ordinary users, each one having a Calendar which HP Schedule
uses to make bookings.  You can appoint someone to keep track of Resource
bookings or, if you wish, you can have them made and cancelled
automatically.  HP Schedule is susceptible to the same system delays as
other HP Desk messages.  These delays can result in a clash if two users
try to schedule the same time slot.  To reduce time delays, you might
consider limiting Resource configuration to workstations which are in the
same building.
