Transferring Users 

Moving Individual Users 

When your users change departments, you will need to transfer them, and
all of their data, from their existing mailnode to their new one.

If the user is to be transferred from one local mailnode to another, you
will find it easiest to use the Rename User batch configuration
transaction.

However, if you are transferring a local user to a remote mailnode (for
example, to a different computer), you can use Mailutil to store the user
to a specified MPE file.  You can then send the file to the remote
computer, where the HP Desk Administrator can run Mailutil and put the
user on their system.  Storing and restoring users in this way, preserves
their Work Areas, List Areas, Filing Cabinets, Calendars and their
passwords.  It does not save the contents of their In Trays, Out Trays
and Pending Tray's, their AUTOANSWER and AUTOFORWARD items, or their
native names.  Their AUTOFILE, AUTOCOPY and AUTOINSERT settings will also
be reset.  Users will have access to the Public Distribution Lists and
Notice Board of their new mailnode.  However, the public folders from
their previous mailnode will not move with them.  Remember that the
user's Waste Basket folder is a public folder and so will not move.

By default, users are stored to tape, although you can choose to store
them to disk.  The users can be stored in either a new file or appended
to an existing disk file.

The file must be large enough to contain the data that Mailutil will
transfer for each user.  A suitable size may be calculated from the
figures produced in the Local User Summary Report (See Chapter 21  in
this manual).  One thing which will not show up on this report is the
number of shared folders users have.  It is possible to share a great
many folders without taking up much room on the database.  However, once
transferred that user's copy of everything which was in the shared
folders becomes their personal property.  The resulting file can be too
big to be restored on either your machine or on the machine the user was
transferring to.

A point to bear in mind if you intend to store a user who shares a large
number of other people's folders and then restore them onto another
computer.  The items which came from shared folders will now belong to
the user as well as to the shared folders.  You have effectively made a
copy of them all for that user and so will have to take them into account
when working out how much room will be taken up by the user on the
database.  You should also remember that these items now belong to the
user and so will not be updated when the shared folder they once belonged
to is updated.

The user store facility does not automatically delete the users that were
stored.  When the users have been successfully transferred you should
delete them from the configuration.  It helps to delay deleting users
from the old mailnode for a short time so that AUTOFORWARD and AUTOANSWER
can be set for each user.

This is an effective way of making other users aware of the change of
address before the Directory is updated.

When restoring users from a file, you have to specify an existing
mailnode onto which all users on the file should be restored.  If any
users already exist on the target database Mailutil will not restore
them.

If the file BCREPORT.MAILDB.HPOFFICE exists or is file-equated when a
user is stored using Mailutil, a record is written to it in batch
configuration format, to delete that user.  Similarly, when a user is
restored, a record is written to add that user.

|       How to Store Users to a File:                                  |
|                                                                      |
|   1.  Run Mailutil by typing MAILUTIL either at the colon prompt or  |
|       from within HP Desk.                                           |
|                                                                      |
|   2.  Press  Store Users.                                            |
|                                                                      |
|   3.  Type the name of the MPE file you want to store the users      |
|       in.                                                            |
|                                                                      |
|   4.  If this file exists already, HP Desk asks if you want to delete|
|       the existing contents.                                         |
|                                                                      |
|       If you want to append the users you are about to store to those|
|       already stored in the file, type No.                           |
|                                                                      |
|       If you want to delete any existing information and store the   |
|       users in a empty file type Yes.                                |
|                                                                      |
|   5.  At the User >> prompt, type the names and mailnodes of each    |
|       user you want to store off, pressing Return after each         |
|       one.                                                           |
|                                                                      |
|   6.  When the User >> prompt appears after you have typed the last  |
|       name and mailnode, type //.                                    |
|                                                                      |
|   7.  Press Return to return to the Main Menu.                       |
|                                                                      |
|   8.  Press  Exit to leave Mailutil.                                 |

|       How to Restore Users from a File:                              |
|                                                                      |
|   1.  Run Mailutil by typing MAILUTIL either at the colon prompt or  |
|       from within HP Desk.                                           |
|                                                                      |
|   2.  Press  Restore Users.                                          |
|                                                                      |
|   3.  Type the name of the MPE file you want to restore the users    |
|       from.                                                          |
|                                                                      |
|   4.  Type the name of the mailnode you want to restore the users    |
|       to.                                                            |
|                                                                      |
|   5.  Press Return to return to the Main Menu.                       |
|                                                                      |
|   6.  Press  Exit to leave Mailutil.                                 |

NOTE If a Native Database is installed, transferring users between mailnodes by means of Mailutil options 1 and 2 will not transfer any native name(s) and language ID(s) held for the users in question. These will be lost and must be re-entered for the new mailnode by using the configurator or the batch configuration procedure.
Listing the Database to a File Mailutil allows you to list all or any of the following parts of your databases to a file: Global Database Local Database Country Local sublocations Locations Local Users (with Sublocations their native names if Users (with their native configured) names if configured) Resources --------------------------------------------------------------------------------------- This file is in a format which can be used by the Batch Configurator and can be used to perform remote updates. Being able to list the entire configuration to a file means that you can easily recreate it on another machine. In the Chapter 5 , we mentioned that the HP Desk Administrator in New York had decided to put the Corporate Headquarters and Manufacturing Division onto the HP Desk system as two separate locations. This was because the company intended to buy a second computer for the manufacturing location at a later date. Once the new machine is set up, the HP Desk Administrator for NEWYORK can list the HP Desk databases to a file and use that file to configure it. The file can contain all of the information to configure countries, locations, sublocations and users on a new machine. The entries for adding a country are at the start of the file, followed by those for adding locations, and so on. Once the file is copied to the new machine and used as input to the Batch Configurator, all the listed entries are added as new entries on the new machine. If that machine is within the same location as the one from which the dump was taken (as in our example), the HP Desk Administrator need now only configure a new local sublocation and the users who reside on it. You cannot configure the computer name using this file. However, this only takes a short time to configure. The HP Desk Administrator also has to configure a route each mailnode which could take some time. However, as it is possible to configure a single default route which applies to most nodes, which might leave you you with relatively few routes to configure explicitly. In most networks, a computer usually routes the majority of its mail through one other computer. ________________________________________________________________________ | | | How to list all or parts of the databases to a file: | | | | 1.
