HP DeskManager Administration

Local Updates 

The two main methods of updating your Directory are by using either batch
configuration or the Configurator.

Updates Using the Configurator 

You can make changes to the Directories in the same way as you entered
the original data.

|       How to use the Configurator for updates:                       |
|                                                                      |
|   1.  Run the Configurator by typing MAILCONFIG.                     |
|                                                                      |
|   2.  At the Main Menu, select  Config HPDESK.                       |
|                                                                      |
|   3.  Go to the appropriate screens and make whatever changes you    |
|       need to.  The Configurator screens used are described in       |
|       Chapter 12                                                  |
|                                                                      |
|   4.  When you have made all of the changes you want to, return to   |
|       the Main Menu and press  Exit to leave the Configurator.       |

Updates Using the Batch Configurator 

The batch configuration file containing the changes to the Directory can
be created in any of the following ways:

Mailedit              You can enter the configuration values into the
                      forms presented by the screen-based Mailedit
                      utility.  This is similar in appearance to the
                      Configurator, but instead of updating the current
                      configuration dynamically, it creates a batch
                      configuration file.  Mailedit is described fully in
                      Chapter 15 .

                      Mailedit contains a subset of the transactions
                      available in the Configurator and the Batch
                      Configurator.

Text Editor           You can use any text editor to manually produce a
                      file that conforms with the batch configuration
                      file format and operation codes described in
                      Chapter 12 .  The file can be produced as a text
                      item within HP Desk and included in an update
                      message.

BCREPORT File         By creating (or file-equating) a file of this name
                      in the MAILDB group of the HPOFFICE account, you
                      can ensure that any configuration changes made
                      using either the Configurator or the store/restore
                      users or batch configuration options of Mailutil
                      will be recorded in batch configuration format in
                      this file.

A summary table provides a full listing of the Batch Configuration codes
in Chapter 14 .

Operations relating to the HPSchedule option are also supported.

If you use a text editor to produce the batch configuration file, you may
also include comments and space for clarification and ease of reading.

|       How to perform a batch configuration:                          |
|                                                                      |
|   1.  Prepare an MPE file containing the required database           |
|       information for your system, in one of the ways described in   |
|       this chapter.                                                  |
|                                                                      |
|   2.  Run the mailutil program by typing MAILUTIL at either the colon|
|       prompt or from within HP Desk.                                 |
|                                                                      |
|   3.  At the Main Menu, press  Batch Configuration .                 |
|                                                                      |
|       You are then prompted for the name of the MPE file containing  |
|       the batch configuration information.                           |
|                                                                      |
|   4.  The Batch Configurator updates the database with the           |
|       information from the file.  When you leave Mailutil,           |
|       a report telling you which updates have been made and          |
|       which have not been made (and why) is printed on system        |
|       line printer.  If you want to redirect the print, the          |
|       formal file designator of the Batch Configurator file is       |
|       MAILPRNT.                                                      |

Updates Using Mailutil 

It is quicker and easier to use Mailutil rather than the Configurator for
the following:

   *   Changing a user's name

   *   Deleting all the users on a remote node

Changing a User's Name 

If one or more of your users changes their name, for example due to
marriage, you must change the existing names in the database to match.

If a Native Database is installed and the user in question has a native
name, it is the USASCII name used for mailing purposes that option four
allows you to change, not the native name.  Any native name(s) and
language ID(s) configured for this user transfer to the new user name
automatically as the change is processed.

You can only change a user's name using Mailutil option four, not their
mailnode.  If you need to change the mailnode too, you can either:

   *   Store them off of their current mailnode and restore them to their
       new mailnode.  See "Transferring Users"  for more information.

   *   Use the Rename User batch configuration transaction.  The
       advantage of this method over Mailutil is that the user's messages
       and shared folders are not duplicated.

When you change a user's name, don't forget to update any Distribution
Lists containing the old name.  You can also set up a new user with your
user's old name.  This new user doesn't have any capabilities, it just
has AUTOFORWARD set to your user's new name.  Furthermore, you can set an
AUTOREPLY which gives the user's new name to anyone sending messages to
the old name.  This will save you having to redirect mail which was sent
to your user's old name from General Delivery.

|       How to change a user's name:                                   |
|                                                                      |
|   1.  Run Mailutil by typing MAILUTIL at either the colon prompt or  |
|       from inside HP Desk.                                           |
|                                                                      |
|   2.  Press  Change Name .                                           |
|                                                                      |
|   3.  Type in the name you want to change and press Return.          |
|                                                                      |
|   4.  Type in the new name and press Return.                         |
|                                                                      |
|   5.  Press Return to return to the Main Menu.                       |
|                                                                      |
|   6.  Press  Exit to leave Mailutil.                                 |

Deleting Users from a Remote Node 

This Mailutil option provides you with a quick method of removing
redundant parts of the configuration.  The entry for the remote mailnode
itself remains, so the resulting space can be filled by restoring a new
list of users for that mailnode, created by the remote computer using
Mailutil's List of Local Users option.

|       How to delete users from a remote node:                        |
|                                                                      |
|   1.  Run Mailutil by typing MAILUTIL at either the colon prompt or  |
|       from inside HP Desk.                                           |
|                                                                      |
|   2.  Press  Delete Users.                                           |
|                                                                      |
|   3.  Type in the remote mailnode (location/sublocation) you want to |
|       delete users from and press Return.                            |
|                                                                      |
|       If you make an entry that causes an error message to be        |
|       displayed, a non-existent mailnode for example, you are        |
|       returned to the HPMAILUTIL > prompt and must start again from  |
|       step 2.                                                        |
|                                                                      |
|   4.  Press Return to return to the Main Menu.                       |
|                                                                      |
|   5.  Press  Exit to leave Mailutil.                                 |

Updates Using the Directory Update Facility 

If you wish, you can use the Directory Update facility instead of the
Batch Configurator to perform updates on your computer.  The advantage of
sending update messages to your own Directory Update facility is that you
can edit any incorrect transactions and reapply them.  You can also go
into General Delivery and forward the update message to any other
computers in your network which require the information.  Also if you
have more than one HP 3000 running HP Desk at your site, you don't have
to log onto each one of them and apply the updates individually.  Details
of how to use the Directory Update facility are given later in this
chapter.

If you are an HP Desk Administrator changing the configuration on your
own computer using the Directory Update facility, you can make changes to
computer and route information as well as the changes you can make if you
were performing updates on a remote computer.  However, like remote
updates the changes will only be applied if your computer is configured
to accept updates from the mailnode you are sending them from.
