Estimating the Size of the Databases
First time, it's a good idea to use the initial values which the
Configurator presents. These are based on a simple HP Desk system with a
small number of users, taking likely numbers and sizes of items into
account. No provision is made in the calculation for any options, such
as HP Schedule or HP File/Library, and for the increased use of the
system that they would be likely to generate.
It's worth printing the report screens that are displayed when creating
the databases, to keep as a paper record of the initial sizes of
individual datasets and of the total sizes of the databases. Each time
you run the Maintenance program, you can study the reports it produces to
see how the initial values compare to the actual usage of the databases.
Then you can judge whether you need to expand the databases to suit your
installation's usage of HP Desk.
It is at this point, when creating the databases, that you must specify
the name of your local computer. This name cannot easily be changed once
the databases have been built, so choose it carefully. If your computer
is part of an HP Desk network, the name you give to the local computer is
also the name by which other computers in the network will identify your
computer. (In this case, it's important that the name you choose is
correctly configured in the databases of other computers in the HP Desk
network.)
The factors used in the calculating of the size of the databases,
together with their initial values are described in Chapter 12 . If
you change from the values, your values should correspond to the maximum
numbers you expect to configure on your system. (These values don't
limit your configuration - they're only used to estimate the size of
databases.) For those factors which are difficult to estimate
accurately, extra notes are given.

How to create databases:

1. Log on to MPE as MGR.HPOFFICE,MAILDB.

2. To run the Configurator, type MAILCONFIG.

3. At the Main Menu, select Create Database.

4. Database Definition screen 1. Here, type the name for your
computer, and then tab through the fields supplying values
appropriate to your installation. Finish by selecting Record
Values.

5. Database Definition screen 2. This shows the total database
size calculated by HP Desk from the values you provided in the
previous screen. If you are not satisfied with these totals
you can return to the previous screen and adjust any of the
constituent values. You can continue doing this until you are
satisfied with the totals. Finish by selecting Record
Values.

6. Calendar/Diary Database Definition screen 1. Here, complete
the fields provided with values appropriate to your
installation's expected usage of the Calendar. Alternatively,
you can just accept the displayed values. Finish by selecting
Record Values.

7. Calendar/Diary Database Definition screen 2. This shows the
values you provided above, plus the results of HP Desk's
calculations for the number of users you declared earlier. You
can return to the previous screen and adjust the values until
you're satisfied with them. Finish by selecting Build
Database.

8. Database Report is then displayed, which shows the amount of
disk space allocated to each component of the database. Keep
selecting Continue to display the rest of the report.

9. Calendar/Diary Database Report is displayed. Here, select
Continue.

10. Database Report is displayed for the Native Database if one has
been created. Select Continue.

11. HP Desk now creates the databases. This can take several
minutes, during which time a number of messages are displayed
letting you know when the Global and then the Local Database
have been created. When the creation of both databases is
complete, you're returned to the Main Menu. The Native
Database is also created if required.

12. You can exit the Configurator or go ahead to configure
information in the database about your HP Desk installation and
its users.
